Our valued client is a reputable law firm in Kelowna who is seeking a full-time Jr. Legal Administrative Assistant with 1-2 years of experience in a law firm, as well as legal training.
Responsibilities will include:
• Conflict Searches
• Client Verification and ID
• Assisting with file management
• Performing a variety of admin. tasks, such as: organizing and maintaining files; opening and closing client files; keeping clients lists
• Maintaining bring-forward tracking system for follow-up dates
• Producing correspondence and legal documents from handwritten or precedent documents
• Interaction with clients to obtain direction or instructions from lawyer
• Assisting, where needed, with general office management, such as:
filing and scheduling meetings
• Handling incoming/outgoing mail
• Reviewing and filing email correspondence
• Assembling legal documents into binders
• Proofreading and editing all documentation for grammar, spelling, and content accuracy
• Conducting conflict searches
• Answering client cold calls and general enquiries
• Researching information on internet
Qualifications:
• High school graduate
• Graduation from a recognized Legal Administrative Assistant program, is an asset
• 1-2 years of direct work experience in a legal assistant capacity is an asset
• Knowledge of basic legal concepts, principles, and terminology
• Proficiency with document management software and advanced MS Office skills
• Strong research skills on the Internet and traditional sources of information
• Excellent writing skils, including proper spelling, grammar, and punctuation for complex documentation
• Ability to maintain filing systems and basic databases, including meticulous records maintenance skills
• Strong sense of ethics and the ability to handle sensitive or private information with tact and discretion
• Superior interpersonal and communication skills, including ability to communicate in a professional and respectful manner
• A positive work attitude with a willingness to learn
• Ability to work well in a team environment, as well as independently
• A passion for providing superior client service
• An energetic self-starter who takes the initiative and anticipates needs
• Exceptional attention-to-detail and organizational skills
• Strong Communicator – both verbally and in writing
