Our client is seeking to fill a full-time Legal Office Manager vacancy in Kelowna which position will be responsible for ensuring that the legal office provides exception service and runs smoothly by coordinating, monitoring, and over-seeing all activities within the law office, including staffing.  This role is responsible for assigning tasks, as well as ensuring they are completed on time and in accordance with quality guidelines.

Human Resources Duties

·        Plan, organize, direct, control, and evaluate the operations of the personnel department

·        Identify current and prospective staffing requirements

·        Assist in the selection and reassignment of employees, and prepare job offers

·        Advise new hires on employment requirements and on terms/conditions of employment

·        Advise employees on staffing policies and procedures

·        Organize and administer staff consultation and employee assistance

·        Handle internal and external staff training, recruitment activities, and career development

·        Coordinate employee performance appraisal programs

Financial Duties

·       Organize, direct, control, and evaluate the operation of the finance and accounting department

·       Responsible for the financial health of the law firm

·       Develop strategies and plans for the long-term financial goals of the firm

·       Establish performance standards and prepare various financial reports to the firm’s Partners

·       Maintain the office’s budget, and provide budget reports to the Partners

·       Monitor financial details to ensure the legal requirements are met

·       Review company financial reports and seek ways to reduce costs

·       Manages overdue accounts

·       Responsible for reaching out to customers to collect payments for overdue bills, loans, or other payments

·       Acts as the liaison between creditors and customers

Other Managerial Duties

·       Oversight of the firm’s day-to-day operations

·       Serve as public relations and office liaison for the firm’s Partners, which would include affiliation with banks,  insurers, the benefits program, suppliers, and advertising mediums

·       Manage the team of administrative and support staff, and solve administration problems

·       Resolve office equipment issues for computers, printer/copier, fax machine, telephones, etc.

·       Take responsibility for the upkeep of the building

·       Negotiate contracts with providers of services, including security, parking, maintenance,

To be successful in this role, you will have the following:

·        Minimum 5 years’ office management experience.  Preference will be given to those with Legal experience

·        Effective leadership, communication, time management, and organizational skills

·        Familiarity with legal practices

·        Preference will be given to those with post-secondary education, with a business/leadership and management considered an asset

·        Strong safety management mindset and experience

·        Aptitude for problem-solving and thinking outside-the-box

·        Decision-making skills

·        Proficient with MS Office software and ESILaw legal software

·        High degree of motivation, resourcefulness, flexibility, and adaptability

·        Ability to maintain a commitment to privacy and ethical conduct
